About Asurion

Asurion provides support and repair services for connected devices and appliances. Its tax department prepares thousands of returns each year and handles large volumes of financial data.

For Dave Johnson, Director of International Tax, the challenge goes beyond processing that data. His team needs calculations it can review, reproduce, and support when questions arise.

The Challenge

The Challenge: Scaling Automation Without Compromising Control

Automation Was Concentrated Among Technical Specialists

Asurion’s tax team had automated parts of its work with legacy tools like Alteryx, but building and maintaining workflows remained concentrated among a small group of technical users. Colleagues depended on those specialists to run processes, make changes, and resolve issues.

That dependence created continuity risk. The monthly sales tax process handled millions of rows of data, yet only one person understood how it worked. If that person became unavailable, the team had no ready backup to keep filings on track.

Johnson explained, “We would have had to scramble, and we probably would have had to hire outside help, at least for a period of time, to make sure we filed everything we needed to file. It was extremely risky.”

Manual Processes Limited Team Capacity

Mexico VAT reconciliation involved hundreds or thousands of transactions each month, with records that did not always match cleanly. The team typically attempted it retrospectively at year-end.

Foreign entity review required senior staff to open separate workbooks and check the underlying calculations individually. This absorbed senior manager and director capacity that could otherwise support proactive modeling and more strategic tax work.

AI Needed to Meet the Requirements of Tax Operations

AI chat tools presented a different challenge for Asurion’s tax team: confidence in the results. Expanding automation required calculations that could be reliably reproduced, traced to their source, and supported in an audit. The team needed AI assistance within a repeatable financial process it could review and trust.

As Johnson put it, “If I can’t reliably reproduce the results, then it’s not worthwhile. I can’t hand that to an auditor or feel confident in the results.”

The Solution

The Solution: Repeatable Execution and Shared Ownership Across Tax and Finance

Expanding Automation Beyond Technical Specialists

With Savant’s AI control layer, Asurion expanded access to more than 50 users across tax and finance. The team builds and manages workflow agents—documented, repeatable processes for executing tax work—so responsibility can move from technical builders to the colleagues who rely on the outputs.

AI-assisted documentation helped make that transition possible. Colleagues could understand how a process worked and use Copilot to make adjustments as requirements changed.

One tax director who had previously found Alteryx too complicated took ownership of a process after it moved to Savant. When the underlying requirements changed, she updated the workflow agent independently. Workshops, regular training, and one-on-one sessions helped more colleagues develop the confidence to manage their own processes.

Sharing Process Knowledge and Responsibility

Savant’s AI automatically documents the business logic within a visual, step-by-step workflow, making it easier for team members to understand, share, and maintain the process. For Asurion, this helped transfer knowledge and responsibility beyond the original builder.

Johnson recalled, “Several workflows that I was previously basically running, even though I was not the customer for them, have now been handed off to other members of the tax team. And they were able to build up their knowledge based on the documentation that’s sitting right in the workflow.”

The monthly sales tax processes also moved into Savant, where multiple team members now understand and run the workflow agents. A critical filing process that previously depended on one person gained broader coverage across the team.

Making Complex Processes Easier to Maintain

Simpler workflow construction made maintenance more accessible. In one example, a multi-tool Alteryx macro used to import data from multiple files became a single input step in Savant.

For foreign entity review, a workflow agent pulls data from individual workbooks, aggregates adjustments, compares results with prior periods, and surfaces variances. Reviewers can focus on exceptions rather than checking every calculation individually.

For Mexico VAT reconciliation, matching rules account for transactions without clean one-to-one matches, making reconciliation practical where manual matching had previously been difficult.

Combining AI Assistance With Repeatable, Traceable Execution

Asurion uses AI to help colleagues document and adjust workflow agents, while the agents define the steps used to execute financial processes. This gives the team a way to apply AI assistance while retaining a process it can inspect, reproduce, and support.

Savant brings together the process steps, the specific run that produced an output, and the source files used in that run. The team can trace how a calculation was produced and reproduce the result when needed, without reconstructing the work across multiple versions of a spreadsheet.

That record supports both internal review and audit requests. For journal-entry reconciliation, Asurion used Savant to process files too large to open in Excel, complete the reconciliation, and provide the result directly to auditors.

“We need a repeatable, automated process that we can feel confident in,” Johnson concluded, “and that’s what Savant gives us.”

The Results

The Results: Broader Adoption, Shared Ownership, and Greater Team Capacity

AI-Assisted Automation Expanded to 50+ Users Across Tax and Finance

Asurion expanded access to AI-assisted automation beyond a small group of technical specialists to more than 50 users across tax and finance. Colleagues who previously relied on others to run workflows now own and maintain the workflow agents they depend on.

For monthly sales tax filings, multiple team members now understand and run a process that previously depended on one person. That shared ownership gives the team coverage for critical recurring work.

Productivity Returned to the Team

Asurion estimates that automation has freed capacity equivalent to one full-time employee—a hire the team did not have to make.

The benefit extends to senior staff. By consolidating foreign entity calculations and surfacing variances, Savant lets reviewers focus on exceptions and areas requiring judgment. The team has more capacity for proactive modeling and decisions that could improve the company’s tax position.

The team is now “doing proactive modeling to see how we can be strategic in our thinking, save the company money, set ourselves up for success in future years,” according to Johnson.

$20K+ in Annual VAT Recovery From One Process Alone

In Mexico VAT reconciliation alone, Asurion recovers more than $20,000 annually from transactions the team previously could not match.

The workflow agent also shifted responsibility from manager or senior manager level to an analyst. Asurion is extending the approach to other countries with similar VAT returns, building on the same reconciliation process.

Less Back-and-Forth With Auditors

Asurion can now complete journal-entry reconciliations that were previously difficult because the files were too large to open in Excel. The team provides the completed reconciliation directly to auditors, reducing back-and-forth and effort on both sides.

“We ran our reconciliation within Savant. And we were able to hand that off to the auditors and then it was done,” Johnson recounted.

What’s Next

What Asurion Is Building Next

Asurion is now extending the same approach to more tax processes and countries.

The team is working toward direct connections with its tax software so workflows can pull data, run calculations and validations, and push results back into the system. The goal is a more complete end-to-end process with checks built throughout.

Each successful workflow also gives the team more capacity and experience to identify the next process worth automating.

Johnson reflected, “No matter how good you think your processes are, there are hours to be saved, dollars to be saved, and peace of mind to be gained. There are a million points where a manual process can break, and you could be getting an incorrect result and not even know it.”
